Position Summary

The In-House Bookkeeper at Dream Team Finishes is the daily financial engine of a growing specialty construction company. This role owns the day-to-day accounting operations — accounts payable, accounts receivable, job cost coding, payroll support, bank reconciliation, and AIA billing coordination — ensuring that every dollar is tracked accurately and every financial record is clean, current, and ready for review.

This is not a back-office afterthought. At Dream Team, the Bookkeeper is a critical team member whose accuracy directly supports Project Managers in the field, informs leadership decisions at the top, and protects the financial integrity of the company as a whole. The right person for this role loves systems, takes pride in clean records, and understands that in construction, financial precision keeps projects — and people — moving.

Key Responsibilities

  • Process accounts payable and accounts receivable transactions daily; ensure accurate and timely posting

  • Code all job costs to the correct project, phase, and cost category in QuickBooks or equivalent software

  • Perform weekly bank and credit card reconciliations; flag all discrepancies to Controller or CEO immediately

  • Support bi-weekly payroll processing; maintain certified payroll records for prevailing wage projects as required

  • Prepare and coordinate AIA Applications for Payment with PMs in alignment with GC billing schedules

  • Track retention receivables and payables by project; maintain lien waiver log and file executed waivers within 3 business days

  • Manage vendor files: collect and maintain current W-9s, prepare annual 1099s, and respond to vendor billing inquiries

  • Maintain organized digital and physical financial records in accordance with company filing standards

  • Prepare weekly cash position summary and monthly financial data package for Controller or CEO review

  • Assist with year-end close, CPA and tax preparation, and any audit or bonding documentation requests

  • Communicate proactively with Project Managers regarding job cost discrepancies, missing invoices, or billing gaps

Qualifications

  • 2+ years of bookkeeping experience; commercial construction industry experience strongly preferred

  • Proficiency in QuickBooks Desktop or Online; Sage 300 CRE, Foundation, or Procore a strong plus

  • Working knowledge of job costing, AIA billing format, and construction AP/AR workflows

  • Strong attention to detail — accuracy and consistency are the primary performance standard

  • Experience with certified payroll and prevailing wage requirements is a plus

  • Associate's degree in Accounting, Business, or related field preferred; equivalent experience accepted

  • Ability to work independently, meet recurring deadlines, and maintain confidentiality of all financial information
