Executive Assistant
Position Summary
The Executive Assistant at Dream Team Finishes is the operational right hand of the CEO. This role manages executive communications, calendar and travel coordination, project tracking, vendor relationships, and special initiatives — ensuring the CEO's time is protected and the organization runs without friction.
The EA is not a back-office role. At Dream Team, this position operates at the center of the business — interfacing with GC contacts, leadership team members, vendors, and new hires. The right person brings discretion, initiative, warmth, and an obsession with follow-through. They make things happen before being asked, and they make everyone around them better.

Key Responsibilities
Manage the CEO's full calendar — schedule meetings, protect deep-work blocks, and coordinate shifting priorities daily
Draft and manage executive correspondence, proposals, follow-up emails, and client-facing presentations
Coordinate travel arrangements, itineraries, and logistics for the CEO and leadership team
Track all open action items, special projects, and strategic initiatives — deliver written status updates to CEO every Friday
Serve as first point of contact for executive-level communications, incoming visitors, and GC partner inquiries
Support business development: prepare capabilities materials, coordinate follow-up sequences with GC contacts
Manage office operations including supply ordering, vendor relationships, and facility coordination
Support HR coordination: onboarding logistics, new hire scheduling, and team-wide communications
Maintain confidential executive files, records, and sensitive communications with absolute discretion
Plan and coordinate company meetings, client appreciation events, and internal team functions

Qualifications
3+ years as an Executive Assistant, Office Manager, or equivalent professional support role
Exceptional written and verbal communication — polished, concise, and clear in every medium
Proficient in Microsoft Office Suite, Google Workspace, and project management tools (Asana, Monday, Notion, or similar)
Demonstrated ability to handle confidential information with discretion — references will be checked on this specifically
Experience in construction, professional services, or a fast-paced entrepreneurial environment strongly preferred
